Vitoqa Privacy Notice
This notice explains how Vitoqa handles personal information when providing its event invitation and RSVP service.
Who we are
Vitoqa operates an online event invitation and RSVP platform.
Privacy enquiries: contact@vitoqa.com
Information we handle
For hosts and team members, Vitoqa handles information such as names, email addresses, account preferences and account or security activity.
For event guests, event organisers may provide information such as names, contact details, language or party information, and other event-related information or notes they choose to add. When a guest uses an invitation, Vitoqa also records information such as their RSVP response, attending count, response time, and any optional note they choose to send to the event organiser. Vitoqa may also record whether and when a guest has opened their personalised invitation.
Vitoqa also handles limited technical information, such as IP addresses and session information, for operating and protecting the service.
Why we use personal information
Vitoqa uses personal information to:
- operate and administer the platform and user accounts;
- provide invitation and RSVP functionality;
- maintain the security and integrity of the service; and
- meet applicable legal obligations where required.
For Vitoqa’s own account administration, service operation and security activities, Vitoqa relies on its legitimate interests in operating, administering and securing the service, where those interests are not overridden by the rights and freedoms of the individuals concerned.
Where an event organiser provides guest information, the organiser determines why that guest information is used and Vitoqa processes it to provide the event service on the organiser’s behalf.
Sharing information
Vitoqa uses infrastructure and email delivery providers to operate the service. These providers may process personal information as part of providing those services.
Guest information may also be available to the relevant event organiser and authorised members of their team.
Information may be disclosed where required by applicable law.
International processing
Some service providers may process personal information outside the UK. Where this involves an international transfer, Vitoqa uses an applicable lawful transfer mechanism, such as UK adequacy arrangements or contractual safeguards. You can contact contact@vitoqa.com for further information about the safeguards used.
How long information is kept
Vitoqa keeps personal information for as long as reasonably required for the purposes described in this notice and for applicable legal, security and accountability purposes.
Cookies and session technology
Vitoqa uses a session cookie that stores a session identifier. Related session information is held server-side. The session cookie is necessary to operate functions such as account access, security and invitation sessions, and expires when the browser session ends or the session becomes inactive.
Your rights
Depending on the circumstances, you may have rights under UK data protection law, including rights relating to access, correction, erasure, restriction and objection.
Where Vitoqa relies on legitimate interests, you may have the right to object to that processing in certain circumstances.
To make a privacy request, contact contact@vitoqa.com.
If your information was provided by an event organiser, requests relating to that information may need to be handled in conjunction with the organiser.
For information about requesting deletion of your Vitoqa data, see our Data Deletion page.
Complaints
You have the right to complain to the Information Commissioner’s Office (ICO). Information about making a complaint is available at ico.org.uk.
